Professional Email Basics
Every professional email follows a simple structure:
- Subject line: Clear and specific (max 8-10 words)
- Greeting: "Hi [Name]," (informal) or "Dear [Name]," (formal)
- Opening: State the purpose in 1 sentence
- Body: Details, context, action items
- Closing: Clear next step or call to action
- Sign-off: "Best regards," / "Thanks," / "Regards,"

Hi Priya,
I'd like to schedule a meeting to discuss the Q2 marketing strategy and align on campaign priorities. Could we meet this week?
Here are some proposed time slots:
- Wednesday, 2:00–3:00 PM
- Thursday, 10:00–11:00 AM
- Friday, 3:00–4:00 PM
Please let me know which works best, or suggest an alternative. I'll send the calendar invite once we confirm.

Template 2: Leave Request Email
Subject: Leave Request: 15-17 March
Hi [Manager's Name],
I'd like to request leave from 15 to 17 March (3 days) for a family commitment.
I've ensured that my current tasks are on track and have briefed [Colleague's Name] to handle any urgent items during my absence. My project deliverables for this sprint are scheduled for completion before the 14th.
Please let me know if this works. I've also submitted the request in [HR system].
Thanks,
[Your Name]
Template 3: Follow-Up Email
Subject: Follow-Up: API Integration Proposal (Sent 5 March)
Hi Rahul,
I'm following up on the API integration proposal I shared on 5 March. I wanted to check if you've had a chance to review it and if there are any questions or feedback.
A quick summary of the key points:
- Estimated timeline: 4 weeks
- Resource requirement: 2 backend developers
- Expected cost savings: 30% reduction in manual data entry
If it would be helpful, I'm happy to schedule a brief call to walk through the details. Please let me know how you'd like to proceed.
Best regards,
[Your Name]
Template 4: Escalation Email
Subject: Escalation: Critical Bug in Payment Module — Needs Immediate Attention
Hi [Manager/Lead],
I'm escalating a critical issue that requires immediate attention. Our payment module has been returning 500 errors for approximately 15% of transactions since 9:00 AM today.
Impact:
- ~200 failed transactions in the past 3 hours
- Customer complaints increasing (12 support tickets logged)
- Estimated revenue loss: ₹2.5 lakhs and counting
Actions taken so far:
- Identified the root cause: a misconfigured API endpoint after yesterday's deployment
- Prepared a hotfix, pending approval for production deployment
What we need: Approval to deploy the hotfix to production immediately. The fix has been tested in staging and passed all test cases.
Could you please approve the deployment or redirect this to the appropriate approver?
Thanks,
[Your Name]

Template 5: Professional Apology Email
Subject: Apology: Incorrect Data in Yesterday's Report
Hi Team,
I'd like to apologize for the incorrect data in the monthly revenue report I circulated yesterday. The error was in the Q1 comparison figures — I used last year's data instead of the current year's.
I've corrected the report and attached the updated version. The key change is on page 3, where the year-over-year growth is actually 18% (not 12% as previously stated).
I've also added a review checklist to my process to prevent this from happening again. I'm sorry for any confusion this may have caused.
Please use the attached version going forward. Let me know if you have any questions.
Regards,
[Your Name]
Slack Communication Etiquette
Slack is less formal than email but still professional. Key rules:
- Use threads: Reply in threads to keep channels organized, not in the main channel
- Tag appropriately: Use @person for direct mentions, @here for active members, @channel only for urgent matters
- Be concise: Slack messages should be shorter than emails — get to the point quickly
- Use channels correctly: Post in the relevant channel, not in general/random
- Status updates: Use emoji reactions (✅, 👀, 🙏) instead of typing "okay" or "will do"
Slack Template: Daily Standup Update
#team-engineering standup
🔵 Yesterday:
- Completed API authentication module (PR #234 merged)
- Fixed the pagination bug on the dashboard (ticket #891)
🟢 Today:
- Starting work on the user profile page redesign
- Code review for Priya's search feature PR
🔴 Blockers:
- Waiting for design specs for the profile page — @Anita, could you share the Figma link?
Slack Template: Asking for Help
#backend-team
Hey team, quick question 🙋
I'm running into an issue with the Redis caching layer — cache invalidation isn't triggering on user profile updates. I've checked the event listener config and it looks correct.
Has anyone encountered this before? If someone could take a look at this snippet, I'd appreciate it: [link to code]
No rush — happy to hop on a quick call if that's easier. Thanks!
Common Written Communication Mistakes
Mistake 1: Vague Subject Lines
Bad: "Hi" or "Quick question" or "Update"
Good: "Leave Request: 15-17 March" or "Follow-Up: Q2 Budget Approval"
Mistake 2: Walls of Text
Break long emails into paragraphs, use bullet points, and bold key information. No one reads a 500-word paragraph.
Mistake 3: Replying All Unnecessarily
"Reply All" should only be used when everyone on the thread needs to see your response. Don't reply all to say "Thanks!"
Mistake 4: Missing the Call to Action
Every email should end with a clear next step: "Please confirm by Friday" or "Let me know if you have questions."
Practice Tips
- Rewrite your next 5 work emails using the templates above
- Save your best emails as templates for reuse
- Ask a colleague to proofread your important emails before sending
- Practice writing concise Slack messages — aim for under 100 words per message
